Included with every workspace

Everything below is in the price. All of it.

Not a starter plan, not a trial version, and not counted per person. This is what your workspace does on the first morning, before you switch on a single extra.

Part 01

Your customers

One page per customer with everything on it: who they are, what you sold them, what you said last, and what they still owe.

  • Stop digging through inboxes
  • See the whole history in one scroll
  • Nothing lost when someone leaves

Everything about them, in the order it happened

  2. Terrell called back — spoke for six minutes

Wants the entrance done before two o'clock, every week.

    Wed 7:40am

  3. Nine photos from the walk-round added

Filed against the property, not left on somebody's phone

One page holds the story — watch it happen
One page per customer
Companies, the people who work there, and any other kind of contact you keep. Every call, email, text, quote, job and file shows up on the same page, newest first.
Whose customer is it
Every customer has an owner and a stage, from first inquiry to repeat regular. When someone hands an account over, the new person inherits the whole story.
Your own fields and lists
Track the things that matter in your trade — meter number, gate code, paper stock, tonnage. Filter the customer list by type, owner or stage, and bookmark it to come straight back.
A warning before a double entry
Type in a customer whose name is already on file and you are told before a second copy is saved. A spreadsheet import skips names you already have instead of adding them twice.

Part 02

Winning work

Build a job from the things you actually sell, so the price, the invoice and the pay-out all match without anyone retyping them.

  • Quote in minutes
  • Know what is really in the pipeline
  • Signed-off job, ready to bill

Won work carries its notes, photos and price across. Nothing is typed twice.
They say yes — watch it happen
Every live job in one list
Every job with its status, from new to in progress to signed off, filtered by type, owner or manager. Each job carries the steps of the service it was sold as, and a team lead signs it off before it counts as done.
A price list you keep once
Your services with their price, your cost, their price tiers and the steps it takes to deliver each one. Quotes and new jobs are built from this list, so a price rise happens in one place.
Quotes customers can accept online
Build it from the price list, send a link, and turn an accepted quote into a live job in one click.
What is in the pipeline
The value of every job on the list, totaled at the top and narrowed as you filter by owner, manager or type. No spreadsheet on somebody's laptop.
Done means started
Signing off a job can open its project or draft its invoice right away, when you have those parts switched on.

Part 03

Talking to people

Email, calendar and texting live inside the customer's page, and every message files itself.

  • Reply without switching tabs
  • Everyone sees the last word
  • Fewer no-shows

Grounds maintenance quote — Ravenswood Hotel

New

Sylvia Ung, Director of Operations · (555) 555-0113

“Our current crew keeps missing the front entrance before check-in. Four acres, a parking lot and the courtyard. Can somebody walk it with me this week?”

Received 8:21pm · Millbrook

The inquiry arrives — watch it happen
Your existing email, inside
Connect a supported work mailbox. Send from the customer's page, and their reply comes back to the same place, visible to whoever picks it up.
Calendar and booking links
Site visits and calls booked from the customer's page go onto your connected calendar, and free time is checked first. Send a booking link and let people pick their own slot.
Texting from a work number
Send and receive texts from a business number, with opt-outs handled for you and the whole thread saved on the customer.
Suggestions written for you
Our engine suggests what to offer a customer next from what they already buy, and drafts the steps for a new service from a short description. You check it before anything is saved.
Chase-ups that run themselves
Set up a timed run of emails and texts for everyone on a list. Take someone off the list and their run stops.

Part 04

Paperwork

Photos, plans, signed forms and certificates live on the job they belong to, not in a shared drive nobody tidies.

  • Find the file in seconds
  • Always the latest version
  • Share without emailing it

Files on the thing they belong to
Attach to a customer, a job, a person, a supplier or a project. They also stack up in one searchable library you can browse.
Folders, labels and search
Organize however your office already thinks. Search by name, by type, or by who uploaded it.
Nothing overwritten
Upload a newer version and the old one is still there. Put it back if the new one was wrong.
Send a link that expires
Share one file or a whole folder with a link that stops working on a date you choose, and see who opened it.
Filed for you
Quotes, contracts, certificates and exports land in the right folder on the right customer the moment they are produced.

Part 05

Connecting other tools

Your other tools hear about new work within minutes, can read what your added parts hold, and your old spreadsheets come in without doubling up.

  • Other tools hear about new work
  • Bring an old spreadsheet in
  • Undo an import that went wrong
Let another system in
Issue keys you can switch off in a second. Another system can read what your added parts hold, and post to addresses you set up here, with every post logged.
Get told when something happens
Have another system pinged within minutes when a customer or job is added, a job is signed off or a payment comes in, with a log of every delivery.
Bulk in, bulk out
Bring customers in from a spreadsheet, skipping the ones you already have, and undo a bad run. Download any of your lists as a spreadsheet too.
Your calendar and your books
Meetings go onto your connected calendar as they are booked. Switch on Finance and you can send customers, invoices and expenses to a supported accounting system in one click.
Forms on your website
Switch on Site Builder and every form on the site you build here turns a submission into a lead right away. Switch on Sales Prospector and your existing website can post leads in too.

Part 06

Who can see what

One set of permissions covers everything, so your bookkeeper sees the money and nobody else does.

  • Give access by job role
  • See who changed what
  • One login, several businesses
Access by role
Owner, admin and team member to start with, then check exactly which parts each role can open. Every part you switch on adds its own checkboxes to the same screen.
Your data is only yours
Each workspace is walled off at the database, not just hidden in the screens. Nobody outside your workspace can read a row of it.
A record of who did what
Anything that matters is written down with the person, the thing they touched and what changed. Useful in an audit, and useful on a Monday morning.
Run more than one business
One sign-in can belong to several workspaces. Switch between them from the top of the screen without signing out.
Turning access off
Revoke a key and it stops working on the very next call. Change someone's role and it applies the next time they open a page.

Rather see it than read it?

Every section above shows up in a walkthrough that plays itself. A minute each, and nothing to fill in first.
